Changing inventory quantities on Shopify POS

You might need to update inventory quantities to reflect new stock received, sales made outside of Shopify POS, inventory errors, or changes resulting from stock counts.

You can change inventory quantities directly on Shopify POS using the Quick count POS UI extension. You can also adjust inventory quantities in your Shopify admin.

For accurate inventory tracking, make sure that the Inventory tracked setting is activated in the Inventory section of your Shopify admin so that you can view and update inventory quantities.

Adjust inventory quantities on Shopify POS

Your staff can adjust inventory quantities using the Quick count POS UI extension directly on Shopify POS. You can update inventory levels manually or by scanning a product barcode with your device's camera or a barcode scanner.

Activate the Quick count POS UI extension

Before you can use the Quick count POS UI extension on your Shopify POS device, you need to activate it in your Shopify admin.

Steps:

1. From your Shopify admin, go to Sales channels > Point of Sale.

2. Click Settings.

3. In the Customization section, click any of the customizable elements to open the POS editor.

4. Click the icon in the POS editor menu bar.

5. In the Apps section, activate Start quick count.

6. Click Save.

Perform an inventory adjustment using Quick count

You can adjust inventory quantities for up to 1,000 variants in a single counting session and choose a method that works best for your setup. When you reach the limit, Shopify POS displays a banner that asks you to submit the count and start a new session.

Multiple Shopify POS devices can count simultaneously at the same location.

Your staff need to count On hand inventory when performing a stock count. This ensures accuracy as "On hand" refers to all inventory units physically present at a location, including your Committed, Unavailable, and Available inventory. To learn more, refer to Inventory states.

Steps:

1. In Shopify POS, tap the icon, and then tap a product or variant.
2. On the product details page, tap Start quick count.
3. Adjust the inventory quantity for the product using one of the following methods:
   • To perform a manual stock count, enter a quantity, or use the + and - buttons.
   • To use your device's camera, tap Scan, and then point your camera towards the barcode label. Each scan increases the quantity by 1.
   • To use a supported barcode scanner, make sure you have paired your device in your Shopify POS app settings, and then scan the product barcode label. Each scan increases the quantity by 1.
4. Tap Save to confirm the quantity.
5. Optional: To remove a product from your count, tap on the product, and then tap Remove.
6. Tap Submit to update inventory quantities for all counted products.

Inventory adjustment changes report

Inventory adjustments made with the Quick count extension sync automatically to your Shopify admin. You can review these adjustments in the Inventory adjustment changes report in your Shopify admin.

Inventory states

Inventory states can help you understand where your products are and whether they can be sold. In addition to showing the Available inventory for a product, your POS displays the quantity of products that are Committed, Unavailable, On hand and Incoming. Access inventory states in POS

1. From Shopify POS, tap the icon.
2. Tap a product.
3. Optional: If you have variants, then tap a variant.
4. Optional: If you have multiple locations, then tap the current store location.

The inventory states display in a list with quantities beside each state.

You can also access inventory states through the product details page by searching for a variant and tapping View details.

Overselling

Shopify POS will warn staff before they sell an item that has limited or no availability. Staff can choose to complete the sale by confirming that they want to sell the item anyway, or they can go back to the cart for more actions.
