Inviting users
You can invite staff members to your store or organization by creating users in your Shopify admin and assigning them roles to limit their access to parts of your store or organization. Learn more about user roles and the available role permissions for different role categories.
The number of users that you can add depends on your plan. Learn more about the maximum number of users for each plan.

Considerations for inviting users
Review the following considerations for inviting users:
- You can add admin users, who can be assigned any role, including POS roles.
- If you have any Point of Sale locations on the Shopify POS Pro subscription, then you can also add POS app-only users, who can be assigned only POS roles.
User permission requirements
The following users can manage users in the Shopify admin:
- For single stores not on the Shopify Plus plan, the following types of users can manage users:
- The store owner.
- Users with the Administrator store role.
- For organizations, or for a store on the Shopify Plus plan, the following types of users can view and grant access requests:
- The organization owner.
- The store owner.
- Users with the Organization administrator organization role.
- Users with the Store user administrator organization role.
The following types of users can manage POS staff from the Point of Sale channel or from Shopify POS:
- The store owner.
- The organization owner.
- Users with the POS user administrator role.
Invite Shopify admin users
After you invite a user, the staff member receives an email invitation to complete the setup of their user account. Invitations to create a staff login expire in 7 days. If the invitation isn't accepted within 7 days, then remove the user and add them again to send a new invitation.
To give an admin user access to Shopify POS, assign them a POS role. A PIN is generated for them automatically.
Users who haven't completed their accounts have the Pending status on the Settings > Users page of your Shopify admin.
Steps:
Non-Plus plans
From your Shopify admin, go to Settings > Users.
Click Add users.
In the User details section, make sure that Admin user is selected.
In the Emails field, enter the email address of the user, and then click Add. This email is where they'll receive the invitation as well as any email notifications relating to your store. To invite multiple users with the same roles, add each of their email addresses.
Optional: If you don't want to require the user to log in with a secure sign-in method, such as a passkey or two-step authentication, then turn off the toggle in the Secure sign-in method section. This setting is turned on by default and doesn't apply to Shopify POS. If your organization requires a secure sign-in method for all users, then you can't change this setting.
In the Roles section, click
Assign.
Select a role, or create a new role. Click
Assign to assign additional roles.
Optional: In the Permission summary section, review the permissions for all assigned roles. If there are permissions that you don't want to include, then you can edit a role or create a new role.
Click Save.
Plus plan
From your Shopify admin, go to Settings > Users.
Click Add users.
In the User details section, make sure that Admin user is selected.

Click Save.
Accept an invitation
If you receive an invitation to join a Shopify store or organization, then you have 7 days to accept the invitation.
Steps:
- From the invitation email, click Accept invite.
- Log in to your Shopify account. If you don't have one, then create a Shopify account by entering the following information:
- Email address
- First name and last name
- Optional: Phone number
- Password
- Click the name of the store that you're invited to join.
If the link in your invitation email no longer works, then contact the administrator who sent it to request a new invitation.
Add POS app-only users
You can add POS app-only users who have access only to the Shopify POS app. POS app-only users don't need an email address. They use a PIN to access the Shopify POS app.
When you assign a POS role to a POS app-only user, you define what the user can do in the Shopify POS app. Learn more about Point of Sale permissions.
Steps:
From your Shopify admin, go to Settings > Users.
Click Add users.
In the User details section, select Point of Sale user.
Enter the user's first name and last name. You can also enter the user's email address and phone number.
Click Add. A PIN is automatically generated for the user.
In the Roles or Roles and groups section, click
Assign.
Select a POS role.
Optional: To change the generated PIN, click the PIN next to the user's name, and then enter a new PIN or generate a random PIN. Staff use this PIN to access Shopify POS. Make sure that your staff know what their PIN is.
Click Save.
